Ember LMS ("Ember," "we," "us") is a learning platform operated by Molar Labs. This Privacy Policy explains how we collect, use, and share information when you visit our website, create an account, or use our services.
This policy applies to teachers, students, parents, school administrators, and visitors. If you are a school or district, also see our Student Data Privacy page, which describes how we handle education records.
Note: This policy is a disclosure required by privacy laws. Our Terms of Service is the contract that governs your use of Ember.
1. Information we collect
Information you provide
- Account details — name, email address, password (stored securely hashed), role, and school affiliation
- Profile information — optional photo, display name, and preferences
- Course content — assignments, submissions, grades, feedback, and messages you create in the platform
- Support requests — information you send when contacting us
Information collected automatically
- Usage data — pages viewed, features used, timestamps, and general interaction patterns
- Device & log data — browser type, IP address, operating system, and referral URLs

Information from schools & integrations
When your school connects Ember to a roster or identity system (e.g. Clever, ClassLink, Google Classroom, SAML SSO), we receive roster data your district authorizes — typically names, emails, course enrollments, and role assignments.
2. How we use information
We use personal information to:
- Provide, maintain, and improve the Ember platform
- Authenticate users and enforce role-based access
- Generate AI-assisted teaching features at your direction (grading suggestions, tutoring, lesson planning)
- Send service-related communications (account alerts, security notices)
- Comply with law and respond to lawful requests
- Protect against fraud, abuse, and security incidents
We do not use student education records to train general-purpose AI models.
3. How we share information
We share information only as needed to operate the service:

We do not sell personal information. We do not share student data for third-party advertising.
4. AI features
Ember uses AI to help teachers work faster. When you use AI features:
- Inputs are processed to generate outputs for your account (e.g. draft feedback, quiz questions)
- Student submissions are handled according to your school's settings and our Student Data Privacy commitments
- We apply content safety filters on AI outputs in educational contexts
5. Data retention
We retain information while your account is active and as needed to provide the service. Schools may request deletion or export of education records according to their agreement with us. Backup copies may persist for a limited period after deletion for disaster recovery.
6. Security
We use industry-standard safeguards including encryption in transit, access controls, audit logging for student record access, and administrator MFA. See Security & compliance for more.
7. Your rights & choices
Depending on where you live, you may have rights to:
- Access a copy of your personal information
- Correct inaccurate information
- Delete your account or certain data
- Export your data in a portable format
- Opt out of non-essential cookies (see Cookie Policy)
California residents (CCPA/CPRA): We do not sell personal information. You may request access, deletion, or correction by emailing privacy@ember.edu.
EEA/UK residents (GDPR): Our legal bases include contract performance, legitimate interests (security, product improvement), and consent where required. You may lodge a complaint with your local supervisory authority.
To exercise your rights, contact privacy@ember.edu. We respond within the timelines required by applicable law.
8. Children's privacy (COPPA)
Ember is designed for use by schools. We do not knowingly collect personal information directly from children under 13 outside of a school-contracted relationship. Schools are responsible for obtaining any required parental consent. See Student Data Privacy.
9. International transfers
If you access Ember from outside the United States, your information may be processed in the U.S. and other countries where our service providers operate. We use appropriate safeguards for cross-border transfers where required.
10. Changes to this policy
We may update this Privacy Policy from time to time. We will post the revised version on this page and update the "Last updated" date. For material changes, we will provide notice through the platform or by email where appropriate.
